Your first 30 days after moving to an ATS

Most agencies buy a system and then keep working the old way. A simple four-week plan for making the switch stick, without stopping the desk.

  • Move live roles first
  • One rule per week
  • Stop the old sheet
  • Review at day 30

Buying a system is the easy part. The hard part is getting the whole desk to use it on a Tuesday afternoon when a client is waiting.

Here is a plain four-week plan. It assumes a small team and no spare time.

Week 1: bring in what is live

Do not move everything. Move only what you are working on now.

  • Import your open jobs
  • Import candidates who are in a live process
  • Leave the old archive in its sheet for now

You will feel the benefit within days, because the thing you use most is already there.

Week 2: one rule

Pick one habit and hold the team to it. The best one is: *every candidate conversation gets a note in the system the same day.*

That single rule makes the record trustworthy. Without it, people check the system, find it out of date, and stop trusting it.

Week 3: connect your email and intake

This is where time is saved. Connect the mailbox you use and set up the ways CVs reach you. Let the system read the CV and fill in the fields so no one retypes a name.

Check a few parsed CVs by eye. Parsing is good, not perfect, and you want to know what it gets wrong before you rely on it.

Week 4: retire the old sheet

Make the sheet read-only. If someone needs something that is only in the sheet, move it that day. After a week of this, you will find that almost nothing is left behind.

This step is the one most agencies skip. A system and a spreadsheet running side by side means two sources of truth, and neither is right.

At day 30, ask three questions

  • Can I see every open role and where it stands in one place?
  • Did we avoid double-calling anyone this month?
  • Can a new recruiter find a candidate's history without asking?

If the answer to all three is yes, the move worked. If not, find which rule slipped, and fix that one thing.

Do not do these

  • Do not import ten years of old data in week one
  • Do not build a ten-stage pipeline on day two
  • Do not run a long training. Show people the two screens they use every day

Small steps, held firmly, beat a big launch.
