Small recruitment agencies
Recruitment software for small agencies
An ATS for small recruitment agencies of two to five recruiters: one shared candidate database, AI shortlists, a pipeline per job, client shortlist links, and placement invoicing on Starter and above. Per-seat pricing, no minimum.
Claims last checked October 7, 2026
A small agency outgrows the shared spreadsheet the week its second recruiter starts. Two people sourcing for the same clients means duplicate calls, missed history and nobody sure who owns which candidate.
What a team of three needs is one shared record of every candidate and client, clear ownership, and the paperwork of a placement handled without an operations hire.
What slows this desk down
Two recruiters call the same candidate
Without a shared database, nobody can see that a colleague spoke to this person last week, and the candidate notices.
Ownership is unclear
When a candidate is placed, the question of who sourced them and who owns the client turns into a conversation instead of a record.
The founder is also the finance team
Invoices are typed up from memory at month end, and outstanding fees live in someone’s head.
Tools priced for agencies ten times your size
Enterprise recruitment CRMs carry setup projects and seat minimums that a three-person desk cannot justify.
What you get
One candidate database the whole team shares
Every recruiter works from the same talent pool, with duplicate detection at intake so a candidate who applies twice stays one record with one history.
Clear ownership of candidates
Candidates are assigned to a recruiter, can be bulk-assigned or released back to the shared pool, and an admin can stop recruiters editing each other’s candidates.
Rank the team’s bench for a new role
Open a job and AI ranks the whole agency’s candidates by fit and location in a fraction of a second, searching your own pool only.
Track the fee and send the invoice
On Starter and above: expected placement fee, commission splits between recruiters, numbered invoice PDFs, a revenue view of what is outstanding, and accounting CSV export for Xero, QuickBooks, Zoho Books or Tally.
Separate selling from delivery
A business-development role sees clients, fees and revenue but only reads delivery, while recruiters see clients without fees. New BD seats need Starter and above.
Where we are the wrong tool
Worth knowing before a trial rather than after one.
- No timesheets and no pay/bill — the placement model is perm-focused.
- Placement invoices, revenue, reports, outreach automations and client portal logins start at Starter, not on the entry Lite plan.
- No CV database or job-board sourcing marketplace; matching ranks the candidates your agency brings in.
- Not SOC 2 certified, no SAML single sign-on (Google and Microsoft sign-in only), and the interface is English-only for now.
Questions
How many recruiters can use it?
Any number — pricing is per seat with no minimum beyond one, and you add a seat when you hire. Client contacts never take a seat.
Can we see who placed a candidate and split the fee?
Yes, on Starter and above. A placement records the fee and the split between the recruiter who sourced the candidate and the one who owns the client, and that flows into the revenue view and the invoice.
Can we move from a spreadsheet or another ATS?
Yes. Import candidates by CSV or bulk-upload your résumé folders; AI parses each CV into a record and merges duplicates. A company admin can export all of your data at any time.
What does it cost?
30-day free trial — 1 admin seat, 500 AI ops/month, no candidate-count cap, no card. Then Lite from ₹599/seat/month, cancel any time in Billing.
