IT staffing
ATS for IT staffing agencies
An ATS for IT staffing firms: rank your existing bench for a new req in a fraction of a second, multi-channel résumé intake, client shortlists with AI briefs, placement fees and invoices. Perm-focused — no timesheets or pay/bill.
Claims last checked September 3, 2026
IT staffing runs on speed against a pool you already own. The same Java, DevOps and data engineering profiles cycle through three clients in a year, and the firm that submits a credible shortlist first usually wins the role.
The bottleneck is rarely sourcing. It is that last quarter’s candidates are scattered across mailboxes, folders and a spreadsheet, so every new requirement starts from zero.
What slows this desk down
The bench is invisible when a req lands
You have placed or interviewed the right person before, but nobody can find them in the ten minutes that matter. Re-sourcing a role you already have candidates for is the most expensive habit in the desk.
Résumés arrive in five different ways
Referrals by email, portfolios from LinkedIn, a folder from a subvendor, applicants from a job post. Retyping them into an ATS is where the pipeline actually leaks.
Clients want a shortlist, not a database login
Account managers end up rebuilding the same summary email per submission because the ATS has no presentable way to hand three profiles to a hiring manager.
Tech screening detail gets lost between recruiter and client
Stack, notice period, location and rate expectations live in someone’s notes rather than on the candidate record, so the same questions get asked twice.
What you get
Rank the existing bench against a new requirement
Pick an open role and AI ranks your full talent pool by fit and location in a fraction of a second, using pgvector embeddings with a keyword fallback. It searches your agency’s own candidates only — not a third-party CV marketplace.
Pull résumés in from everywhere without retyping
Bulk and CSV upload, IMAP mailbox intake (Gmail, Outlook and other providers via an app password), a Chrome extension for LinkedIn profiles, desktop folder sync, and your public job board. AI parses each résumé into a structured candidate record.
Screen for stack, notice period and location before submitting
Per-job screening questions with knockout rules on select and yes/no answers, capped at five per role. Blank answers never auto-reject, and knockouts send no email — a rejection notice is an explicit automation you switch on.
Send a client a shortlist that looks professional
A token-gated portal link per job, or authenticated client logins, with AI-written candidate briefs and side-by-side compare. Clients leave feedback without an account or a training call.
Post contract as well as permanent roles
Employment type is a first-class field and maps to schema.org CONTRACTOR, so contract roles publish correctly to Google for Jobs and your career page alongside permanent ones.
Track the fee, not just the hire
Expected placement fee, commission splits, invoice PDFs with tax fields, a revenue view, and accounting CSV export for Xero, QuickBooks, Zoho or Tally.
Where we are the wrong tool
Worth knowing before a trial rather than after one.
- No timesheets and no pay/bill. The placement model is perm-focused — if your desk is majority contract with weekly hours, margin and invoicing runs, Bullhorn and its peers do that and we do not.
- No native LinkedIn Recruiter System Connect. The Chrome extension imports a profile you are viewing; it is not a Recruiter seat integration.
- No vendor management system (VMS) or subvendor portal.
- Not SOC 2 certified. If a client’s security review requires the certificate on day one, we will fail it.
Questions
Can it match candidates from my existing database to a new job?
Yes. Open a role and the talent pool is ranked by semantic fit and location in a fraction of a second. Matching is limited to your own tenant’s candidates — there is no cross-agency or third-party CV pool.
Does it handle contract staffing with timesheets?
No. You can post and track contract roles, and contract employment type publishes correctly to job boards, but there are no timesheets, no pay/bill and no margin runs. A majority-contract desk is better served elsewhere.
How do résumés get in?
Bulk upload, CSV import, IMAP mailbox scanning with an app password, a Chrome extension for LinkedIn profiles, desktop folder sync, and applications from your public job board. Each is parsed into a structured record by AI.
